The Drafts Folder

When you create a new TMail, you can see options to save this TMail as a Draft and to not to send it that time. These two options are shown below.

  • Save: Click on Save to save whatever you have created or edited in this TMail Draft. After clicking Save, you can continue editing.
  • Save and Close: Click on Save and Close to save the TMail Draft and also close this tab.

This TMail Draft is saved in the Drafts folder available in the left side Navigation. (Please see Navigation for more details). To see these draft TMails and take an action, select Navigation | Drafts. A list of all Drafts appears, as below.

Locate the target TMail Draft in the list. In the right side area, the TMail Draft details appear, as shown below.

Administrator Role

All Organization Accounts have a special Administrator Role with address admin$<org-name>.tmail21.com. One or more Persons can play this Role. When logged in as an administrator you will have access to additional functions to administer your organization.

To access these functions click on the gear icon as shown below.

You will be able to see the following options.

There are two major ways to access the administrator role.

  1. If you are a Person that can play the Administrator Role
    1. Click on any of the first four options in the Settings down arrow. Since these are exclusively available only for the Administrator Role, you are automatically switched to the admin account.
    2. You can use Switch Roles to switch to the admin account. (Please see Switch Roles for more details.)
    If you have the admin role credentials (user name and password) you can log in directly as an Administrator Role.

    In 1.1 and 1.2 above, The admin account opens in a new browser tab, as shown below.

Switch Roles

Organization Accounts have two types of Users, viz. Persons and Roles. Persons can play zero or more Roles.

When a Person logs in, if they have one or more associated Roles, they will see the Switch Role drop-down. Clicking on the drop-down will allow the Person to switch to a Role.

A Few Examples

The Person David is associated with two Roles – Sales and Service.  David is using his own account and he wants to send a TMail from either of these two Roles. David can switch to any of these two Roles, as shown below.

Star a TMail Pin

You can mark a TMail Pin with a Star. This Star indicates that the corresponding TMail is marked as important.

Stars are an alternative to Trackers to mark TMails as important. However because Trackers are part of the Message Flow they have the additional semantic of whether you expect to act on them, wait for something etc.

In Navigation, select a folder to see the target list of TMail Pins. In the list, the header row shows the names of different columns such as StarSubject, and Type. (To customize the list view for what all columns you can show or hide for this specific list, please see Global Tasks for details.)

Navigate to a TMail

You have different options to navigate to a TMail.

Navigate via a Message Folder: See Messages and Message Folders

Navigate via a TMail Pin Folder: See TMail Pins and TMail Pin Folders

Search for a TMail: See Basic Search and Advanced Search

Click on a TMail Link: If you have a a TMail Link, you can click on it to navigate directly to the TMail. You need to be a Writer on the TMail Link to open and see the TMail via its Link. If you click on the link but are not logged in to TMail, you are prompted to log in. After log in, you are taken directly to the TMail. If you are not a Writer on the TMail, you see an “Unauthorized Access” message.

See Template Store

When you create a new Template, you have an option to list it in the Template Store. The Template Store lists all your Templates organized in different tabs and you can create TMail Instances from here, when required.

Click on the Template Store icon available immediately next to the Search field in the header area as below.

The Template Store appears, as below.

The Templates are organized in different tabs, as below.

  • Favorite: This is the list of Templates that you mark as favorites. (Please see Favorite Templates, for more details.)
  • Featured: This is the list of featured Templates. (Please see Featured Templates, for more details.)
  • My Org: This is the list of templates that you have added only for your Organization. You get this option when you create a new Template. (Please see Create New Template, for more details.)
  • Search: You can use this tab to search a Template. (Please see Search a Template, for more details.)

In the list of Templates, you can see following details for each Template.

Note: This option is available only if you are logged in as an Organization Administrator or playing an Organization Administrator Role.  (Please see The Org Admin Role for more information.)

When you use your account as Org Admin Role, you can see a list of all Users that are added to your current TMail account for your organization. (Please see The Org Admin Role for detailed instructions.)

Click on the Settings icon available at the top right side in the header. Select Org Users option as below.

View Latest Differences

When you select View Latest Differences option for a Text Section, a new interface appears where you can see the Differences in View Diff tab, by default. Note that in the View Diff tab, you always compare the two latest versions. The names of last two versions of this Section are available immediately next to the Side by Side tab, such as V11 vs V10.

View Latest Differences

When you select View Latest Differences option for a Form Section, a new interface appears where you can see the Differences in View Diff tab, by default. Note that for a Form we can (currently) only see Diffs in Basic TMails and Instance TMails. In other words we can only see Diffs for forms that have the same structure/design.

Because Forms in templates have their structures actually modified, we cannot (currently) see Form Diffs in Templates.
